2.3.2 – Students mentoring system available in the institution? Give details. (maximum 500 words)
Introduction Proctoring is an interactive process that provides opportunities to Proctees (Mentees) to have an
interaction with a Proctor (Mentor) and get their guidance and moral support during their period of stay in the
campus. The Proctor-Proctee relationship will have profound influence on the student’s personal growth, careers
developments and even life values. Each Proctor will be allotted with 20 students. These students will be
attached with the proctors till the end of their programme. Objectives: 1. To establish a trusting relationship with
accountability and responsibilities between Proctor and Proctees 2. To enhance Proctees’ education, social and
personal growth through learning from experience of Proctor. 3. To maintain the cordial relationship among the
institute, parents and the students for the welfare of student community. Process: Proctors are requested to meet
their proctees at least three times in a semester to discuss the course registration, attendance, class room
issues, academic performance, social issues, career counselling etc., Every month first Wednesday between
11.00 a.m. and 1.00 p.m. is allotted as a Proctor Hour in their academic schedule for the students to meet their
Proctors. During that time no class or lab will be conducted. Proctors Roles and Responsibilities: 1. Guide
students about the Rules and Regulations governing the Programme 2. Help them in Course Registration 3.
Discuss with the student his/her academic performance during the previous semester(s) and then decide the
number and nature of courses the student can register during a subsequent semester. 4. Pay special attention to
‘probationary students’ and carefully monitor their performance. 5. Strictly warn students that if he/she fails to
register during any semester, his/her studentship is liable to be cancelled. 6. Advise students on the Grading
system and what to do if a student receives grades like ‘F, N, W’. 7. Advise students who fail to register courses
during the regular course registration and drop a complete semester(s) on health grounds, by suitably devising a
modified course plan. 8. Parents to be informed about the progress of the student in case of students with
arrears and low CGPA. 9. Meeting collectively all the proctors minimum 3 times in a semester. 10. Updating
cross checking the address phone periodically. 11. Parents to be contacted over phone at least 2 times in a
semester before or after CAT-I result and CAT-II result. 12. Leave approvals for BOYS will be done by proctor.
13. Leave approval for GIRLS will be done as before and hostel warden will send a communication to
therespective proctor about the approved leave. 14. Open hours are to be followed by all the Proctors. 15.
Proctor Hour on every month First Wednesday between 11.00 a.m. and 1.00 p.m.
